and to return it to us by fax, regular mail or email.

step 2 : download the registration form in a .pdf format and return it to us by fax or email or regular mail. The registration fees must be paid when sending the registration form in order to validate the application in the program.
A confirmation of the registration together with an invoice detailing the payment received and the amount due after the arrival (if that is the case) will be send by email, post or fax.

HOST FAMILIES IN PARIS QUALITY CHARTER

Host
Families in Paris Quality Charter sets out the rights and obligations
of the guests placed in host families. It is based on the principles of
mutual tolerance and respect to enable guests to enjoy a successful
family stay.
•The host family undertakes to assist guests in learning about
a
culture, a way of life and a country which they may not be acquainted
with, and will extend a warm family welcome to the guests. The family
will respect guests’ beliefs, practices and dietary habits.
The
family will respect guests’ sleeping hours and privacy.
However,
the family has the discretion to decide to what extent guests will
share in family life. The family may, for example, ” reserve
"
certain rooms in the home (on the condition that the " reserved " areas
are specified in advance by the family in consultation with Host
Families In Paris and that they do not include the kitchen, sanitary
appliance or bathroom where the home has only one).
•Guests will respect the practices and habits of the host
family
and will in particular respect their privacy; guests will take care not
to over-occupy common living areas and not to disturb the peace and
quiet of the home through excessive noise (for example by playing music
too loudly or at late hours in their room ) or in any other way.
•Guests will keep the areas which they use in an adequate
state of
cleanliness and hygiene. Guests should make their own bed and tidy
their belongings so that the house cleaning can be carried out. Guests
will take care to leave the bathroom and sanitary appliances clean
after use.
Household linen (sheets, towels, table napkins) will be supplied in
sufficient quantities and will be laundered and changed every week.
Guests’ personal clothes may be washed in the host
family’s
home. Guests may hang out their laundry and use the ironing facilities.
•Two types of accommodation are available: single room or
double
room. The single room is for one guest only. Double room have two
separate beds and the room is shared by two guests (usually from the
same group).
•The board and breakfast formula includes breakfast daily.
•The half-board formula includes both breakfast daily and
dinner 5
days a week.
•Guests are not required to eat breakfast at the same time as
the
family: work and/or study hours do not always lend themselves to a
common breakfast time. •Guests who chose the half-board
formula
will have dinner with the family and will observe the dinner time
agreed with the family on the guest’s arrival. Adult guests
may
have dinner outside the home whenever they wish: guests will give the
family as much notice as possible when they wish to dine out so that
the family can make necessary arrangements. •Upon the arrival
of
the guests, the family is advised to agree with guests what the French
breakfast should comprise (hot beverages, cereal, bread…)
•Accordingly to the family’s lifestyle, dinner will
usually
include a starter (first course), a standard dish (meat or fish with
rice, pasta, potatoes, vegetables,…) and cheese and/or
desert.
•Guests may have visitors subject to conditions agreed with
the
host family as to the frequency and type of visits and the areas in the
home which may be used (bedroom or other area).
•Guests may receive phone calls using the host
family’s
telephone. For guests’ own telephone calls out, they should
use
their own mobile phone or a prepaid phone card so as to cover the costs
of any personal calls which they make. Calls made on the host
family’s phone should be kept brief so as not to tie up the
line.
Guests should take into account any time difference between France and
their country of origin and should avoid making or receiving calls too
early in the morning or too late at night. Acceptable times are usually
between 9am and 9pm.
We recommend that guests bring their own cell phone.
•Guests may have access to available facilities of
communication
in the host family’s home (for example television, fax,
internet…) if the host family agrees and subject to agreeing
the
conditions of use and access with the host family. •Guests are
not
permitted to smoke in the host family’s home. However, each
family is free to agree to exceptions to the rule and to agree on
acceptable conditions under which smoking is permitted (how often,
times and areas reserved for smoking).
•Members of the host family will take care not to disturb the
guests through an excessive use of tobacco. Host Families in Paris
makes particular efforts to match host families and guests who have
compatible wishes, lifestyles and habits. However we do recommend that
when guests arrive in their host family, they should discuss any
particular needs or concerns with the family to assist in establishing
good relations.

TERMS AND CONDITIONS

Host
Families in Paris hereafter called HFP is commissioned by the Paying
guests hereafter called guest, to find accommodation in a host family.
The Host Families in Paris Quality Charter which sets out the rights
and obligations of the guest is fully part of this agreement.
Registration:
To register, the guest must fill out the registration form in full and
send it to the HFP office via airmail, e-mail or fax with the payment
of the administration service fees. The applying administration service
costs and fees are available on our website or by phone.
If the guest is less than 18 years old, a parent/guardian authorization
is required. Apply as early as possible to ensure confirmation of
accommodations and preferences. Upon receipt of the registration form
and administration service fees payment, HFP will proceed to find the
appropriate family.
Confirmation of the registration:
The guest will receive by post, e-mail or fax a confirmation of their
registration together with an invoice detailing the payment received
and the amount due after their arrival if that is the case.
Confirmation of housing:
If the registration form and upfront registration fee are received on
or before 45 days prior to arrival, the guest will receive confirmation
of their placement approximately 2 weeks before they are scheduled to
arrive. If HFP does not receive the proper information and registration
fees as stated previously, HFP will inform the guest as soon as their
placement has been confirmed.
For an accommodation up to one month included, the total amount of the
accommodation has to be paid upon confirmation of the family. For an
accommodation above one month, a down payment of one month has to be
made upon confirmation of the family.
HFP will communicate to the guest the name, address, phone number,
metro station, and any other useful information of the host family,...
Late booking:
If the upfront payment is received with less than 15 days prior to
guest’s arrival, a charge of an additional 50 euros will
apply.
Payment:
The payment must be made in Euros according to the invoice sent to the
guest.
The monthly fee is due 10 days before the beginning of the month in
case of a long term stay (above one month). Payments are always due to
HFP and not to the host family. No direct financial arrangement can be
made between guest and the host family.
Payment methods:
By check : check must be drawn on a French Bank and should be made
payable to Host Families in Paris In cash directly in our office upon
appointment

Whatever the mode of payment, the guest pays all wire transfer costs,
banking, fees and commissions.
On completion of bank transaction guest must send bank receipt or copy
of the check to HFP via fax (our fax number is : +33 1 48 03 05 64).
Cancellation and refund:
Should the guest cancel, the administration service costs are non
refundable.
Cancellation for any reasons of housing already confirmed :
•Should the guest cancel more than 45 days in advance, HFP
will
refund the guest in full less 50 euros administrative fees.
•Should the guest cancel between 21 days and 45 days included:
HFP
will refund the guest 30% of paid fees less 50 euros administrative
fees.
•Should the guest cancel less than 21 days : no refund will be
made.
If the refund is made by bank transfer the guest pays all wire transfer
costs, banking, fees and commissions.
After the arrival of the guest, the first 3 weeks of the stay are non
refundable. If the guest wants to leave the family for any reason, a
notification of two weeks to HFP is required.
Housing period and extensions:
Should the guest desire to postpone their departure from the host
family, HFP - if notified within a few days before the end of the stay
- will ensure that the host family can provide the accomodation at the
same conditions. If not, HFP will do its best to find another host
family at the same conditions.
Arrival:
The guest should go directly to their family accommodation upon
arrival. It is essential that arrival times, arrival airport, station
etc. is communicated beforehand to HFP and to the family, as otherwise
there may be no one at the family home to greet guest when they arrive.
This communication must be done at least one week before arrival.
Housing modalities:
Guest are given front door keys and are urged to take great care not to
mislay them as this may incur the cost of lock replacement and copy
keys for all family members – guest must be prepared to pay
for
the repair of replacement of any item lost or damaged by their fault.
Change of homestay:
Should the guest and the host family feel uncomfortable one with the
other, HFP, if notified within a few days after the guest arrival, will
provide for another host family. Only one change of homestay is
permitted. Moving charges for the guest and their belongings are to the
guest's expense. This change can be done only once in a staying period.
If HFP finds a family to be in violation of the Host Families in Paris
Quality Charter, HFP will move the guest to another suitable host
family once this family has been located.
Respect of rules:
The guest must respect the French rules and regulation. They accept and
agree to the Host Families in Paris Quality Charter while living with
their host family.
HFP reserves the right to terminate without compensation a
guest’s housing arrangement if the guest is found to have
behaved
with gross misconduct, violated Host Families in Paris Quality Charter,
or misrepresented themselves on their housing application. Gross
misconduct includes: theft, abuse of property; abuse of persons,
alcohol and drug abuse, failure to adhere to local laws, property rules
and regulations. Also, failure to disclose mental illness, or other
pertinent medical conditions that may have an adverse affect on host
family will also result in termination without compensation. In
addition HFP shall inform the guest’s advisor at the school
he/she is attending or the company he/she is working for.
Insurance:
HFP and its representatives are not liable for damages, injuries, death
and violations to people or goods, whenever these may occur. Each guest
is responsible for providing insurance for such risks. The guest have
also taken a personal insurance covering civil liability, accident,
illness and repatriation, loss and theft of luggage and personal
belongings
Guest is also advised that their belongings are not automatically
insured against theft, loss or damage and should take out appropriate
personal/travel insurance.
Once a guest has arrived, no refund is given in case of cancellation
caused by death or ill heath of the guest, family’s guest
member
or travelling companions. HFP urges guest to take out insurance against
such an eventuality. Both HFP and the guest agree that HFP will not be
disturbed for those matters.
It is advisable that the guest keep a copy of their insurance plan
during the stay.
For minor authorized time for evening outings and insurance papers
proving an insurance cover arranged by the parents for the length of
the stay.
Privacy policy:
HFP will not disclose the private information related to the guest that
guest provide HFP with to any third parties. The host family will only
be provided with the guest’s name, surname, sex, age,
nationality, place of study or work in Paris, medical statements and
any particular requests or statement (dietary restrictions, allergy,
hobbies,...). All other enquiries in the registration form are used by
HFP to find the appropriate family.
